Overview
We are seeking a highly organized, detail-oriented Virtual Administrative Assistant to support daily operations, communication, and project coordination. The ideal candidate is proactive, reliable, and experienced with real estate administrative tasks and CRM systems (specifically Follow Up Boss).

Key Responsibilities

Email & Calendar Management

  • Manage and sort incoming emails.
  • Maintain an organized inbox with proper tagging and prioritization.
  • Schedule and confirm appointments, calls, and meetings for Pietro.
  • Ensure client is fully briefed on upcoming calls, deadlines, and tasks.

Administrative Support & Paperwork

  • Prepare, review, and send contracts, listing agreements, addendums, and other documents.
  • Coordinate with clients, agents, owners, and developers to ensure all paperwork is accurate and completed.
  • Track deadlines and ensure all documents are stored properly.

Project Oversight & Status Updates

  • Oversee ongoing projects and maintain project trackers.
  • Send weekly status updates to owners, developers, and stakeholders.
  • Monitor timelines, deliverables, and follow-ups for each project.
  • Prepare status reports summarizing progress and next steps.

Database & Lead Management

  • Maintain and update contact database across platforms.
  • Add new leads, tag contacts properly, and ensure accurate info is logged.
  • Utilize and manage Follow Up Boss to ensure leads are followed up consistently.
  • Implement and maintain systems for lead conversion, nurturing, and automated follow-ups.

Communication & Coordination

  • Communicate with stakeholders, clients, developers, agents, and vendors as needed.
  • Act as agent’s right hand, ensuring smooth daily operations.

Qualifications

  • Experience as a virtual assistant, admin assistant, or real estate VA.
  • Strong knowledge of Follow Up Boss (or similar CRM).
  • Excellent English communication — written and verbal.
  • Strong attention to detail and ability to manage multiple tasks.
  • Highly organized with strong follow-up skills.
  • Ability to work independently and meet deadlines.
  • Familiarity with contracts, real estate documents, and property management is a plus.

Pay: Expected hours: 40 per week
